Terms of Service
Last updated: 15 October 2026
These terms explain how OrCore works. We've kept them short and in plain English. If anything is unclear, email athena@orcore.org.
Who we are
OrCore Ltd ("OrCore", "we", "us") is a private limited company registered in England and Wales, company number 17520251. Our registered office is 82a James Carter Road, Mildenhall, Bury St. Edmunds, England, IP28 7DE. Our sole director is James Jackson. Website: orcore.org. Contact: athena@orcore.org.
We build websites and booking systems for UK campsites (OrCore Campsites), kennels and catteries (OrCore Kennels) and tattoo and piercing studios (OrCore Studios). Our sites are built with the help of AI tools and every site is checked by a human before it goes live.
These terms are for businesses, including sole traders. By using our services you confirm that you're acting for the purposes of your trade, business or profession, and not as a consumer. Because of that, consumer protection laws that apply only to consumers (such as the Consumer Rights Act 2015 and the 14-day cancellation right under the Consumer Contracts Regulations 2013) do not apply. If you're not using our services for a business, please don't use them.
1. Your free website: no catch, no obligation
- We'll build a website for your business free of charge.
- We'll host it free for as long as OrCore is trading.
- You don't have to buy anything, ever. No contract term, no card needed, no hidden fees.
- You can leave at any time.
- We may end free hosting by giving you at least 60 days' notice by email (including if OrCore stops trading). Before hosting ends we'll give you a copy of your site files and content so you can move elsewhere.
2. Optional paid extras
Everything below is optional. We'll always tell you the price and get your agreement before you pay anything.
- Queue skip – £50 (one-off): we build your site sooner than our standard queue. We'll tell you the expected timescale before you pay. If your site isn't delivered faster than it would have been in the standard queue, we'll refund the £50 in full.
- Paid tweaks: some changes are free, others are paid. We decide which is which and will always tell you, and agree a price and delivery time with you, before doing any paid work. If we don't deliver a paid tweak within the agreed time, you can ask for a full refund for that tweak.
- Booking system plans (you choose one):
- £10 per month for OrCore Campsites, £15 per month for OrCore Kennels, or £10 per month for OrCore Studios; or
- 0.5% of the total value of bookings taken through the system (including deposits, but excluding bookings that are cancelled and fully refunded). We'll send you a statement and invoice monthly in arrears, payable within 14 days; or
- £480 one-off, then £60 per year for support.
- Free trial: booking plans come with a 1-month free trial. We don't need card details to start the trial, and the trial does not turn into a paid plan automatically. At the end of the trial we'll ask whether you want to continue; you'll only be charged if you say yes.
Prices are in pounds sterling. OrCore Ltd is not VAT registered, so no VAT is charged on our prices. If that changes, we'll give you at least 30 days' notice before adding VAT.
If you choose card payments, they are handled by Stripe. Stripe's own terms apply to the payment itself.
3. Who owns what
- Your content is yours. Your text, photos, logos, prices and customer bookings belong to you. You give us permission to use them only to build, host and run your site (and, unless you opt out, to show your site as a portfolio example – see below).
- Your domain is yours. If you already own a domain, you keep it and pay its renewals. If we register one for you, it will be registered in your name (or transferred to you free on request). We pay the first year's registration; after that, renewals are your responsibility and we'll remind you before they're due. If you'd like us to keep renewing, we'll agree the cost with you first.
- Our software is ours. Our design templates, code, tools and booking system remain OrCore's. You can use them while you use our services.
- Your site design: on request, we'll assign to you, or grant you a free, perpetual licence to use, the design of your site for use on your own business website. This doesn't include our underlying booking system software or shared templates and tools used across other sites.
- Portfolio: we may show your site (name, screenshots and link) as an example of our work. If you'd rather we didn't, email athena@orcore.org and we'll stop.
- Leaving: if you leave, we'll give you a copy of your content and site files, and an export of your booking data in a common format (such as CSV), within 14 days of your request. We'll help you transfer your domain, and we delete your data within 30 days of you leaving unless the law requires us to keep it.
- Complaints: email athena@orcore.org. We reply within 2 working days.
- You confirm you have the right to use any content you send us (for example, you own the photos or have permission).
4. Cancelling
- Free website: you can leave at any time. Ask us to take your site down and we will.
- Booking plans (monthly, percentage or yearly support): you can cancel by giving 30 days' notice by email. There's no refund for the current billing period, and no exit fees.
- One-off £480 plan: this covers setting up your booking system, so it isn't refundable once your booking system is live (if we haven't made it live, you can cancel and get a full refund). The £60 yearly support can be cancelled with 30 days' notice before it renews.
- Queue skip: refunded in full if we don't deliver faster than the standard queue (see section 2); otherwise not refundable once delivered.
- Paid tweaks: refunded if not delivered within the agreed time (see section 2).
- To cancel, email athena@orcore.org.
Suspension. We can suspend or remove a site immediately if it contains illegal content or is being used for security abuse (for example hosting malware, phishing or attacking other systems). We may also suspend a site that otherwise breaks these terms (see fair use), or a paid feature if an invoice is unpaid for more than 30 days after its due date. Except in urgent or unlawful cases, we'll warn you first and give you a reasonable chance to put things right.
5. Fair use
Please use our services reasonably. In particular, don't use your site to:
- break the law, or publish anything illegal, defamatory, hateful or infringing;
- send spam, host malware or attack other systems;
- use excessive storage or traffic far beyond what a typical small business site needs. We don't set fixed limits; if your use is far above normal, we'll talk to you about options.
If your use is causing a problem, we'll talk to you first and try to sort it out (except where immediate suspension is allowed above).
6. Liability
- We take reasonable care to keep your site and booking system running, but we can't promise they will never go down or be error-free.
- You're responsible for your business: your prices, availability, cancellation policies and dealings with your own customers.
- We are not liable for any indirect or consequential loss, or for any loss of profits, revenue, bookings or goodwill, or for lost data that you could reasonably have backed up.
- Our total liability to you arising out of or in connection with our services, whether in contract, tort (including negligence) or otherwise, is limited to the greater of £100 or the total fees you paid us in the 12 months before the claim arose.
- Nothing in these terms excludes or limits our liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot legally be excluded or limited.
7. Changes to these terms
We may update these terms from time to time. If a change affects you materially, we'll email you at least 30 days beforehand. We'll never introduce a charge for the free website or hosting while OrCore is trading. If you don't agree with a change, you can cancel without penalty before it takes effect.
8. Personal data
How we handle personal data is set out in our Privacy Notice. We don't sell customer data. We learn from the process of building sites to improve our own tools, but we don't use your customers' personal data to train AI models.
9. Data processing (booking clients)
This clause applies where we store or process personal data about your customers for you, for example through a booking system. For that data, you are the controller and OrCore is your processor, and this clause forms the data processing terms required by Article 28 of the UK GDPR.
- Scope: we process your customers' booking details (such as names, contact details, dates, pet details, appointment details and any reference photos) only to provide the booking system and related services, for as long as you use them.
- Instructions: we process that data only on your documented instructions (these terms and your settings and requests count as instructions), unless the law requires otherwise, in which case we'll tell you unless the law prevents it. We'll tell you if we think an instruction breaks data protection law.
- Confidentiality: anyone at OrCore who handles the data is bound by confidentiality.
- Security: we use appropriate technical and organisational measures to protect the data, including access controls, encrypted connections and regular backups.
- Sub-processors: you authorise us to use the sub-processors listed in our Privacy Notice (currently VM6 Networks Ltd for UK server hosting, Google for Workspace, Stripe for payments if used, and Meta where you use Facebook or Instagram messaging). We'll give you at least 30 days' notice by email before adding or replacing a sub-processor, so you can object; if you do and we can't resolve it, you may cancel without penalty. We'll put equivalent data protection terms in place with each sub-processor and remain responsible for them.
- Data subject rights: we'll help you, taking into account the nature of the processing, to respond to requests from your customers to exercise their rights, and pass any request we receive straight to you.
- Assistance: we'll give you reasonable help with security, breach notifications, data protection impact assessments and consultations with the ICO.
- Breaches: we'll notify you without undue delay after becoming aware of a personal data breach affecting your data, aiming to do so within 48 hours, with the information you need to meet your own obligations.
- Retention, deletion and return: unless you instruct otherwise, booking data is deleted 12 months after the appointment, and studio reference photos are deleted after the appointment (at the latest 90 days after it, or sooner if you set a shorter period). When you leave, we'll return your booking data to you (see section 3) and then delete it, unless the law requires us to keep it. Backups roll off within 35 days.
- Audit information: we'll make available the information you reasonably need to show compliance with Article 28, and allow for and contribute to reasonable audits or inspections, on reasonable notice.
- Transfers: where a sub-processor processes data outside the UK, we make sure a lawful transfer mechanism is in place, as described in our Privacy Notice.
10. Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
